The next 3 Monday mornings (8.00h) all Outlook mailboxes and calendars from employees will be moved to Exchange Online. The faculty is split into 3 migration groups. If you only use a personal mailbox and calendar in Outlook,  you don't have to do anything yourself. The migration process takes place in the background and your mailbox and calendar will stay available during the migration. Please find the date when your organizational unit is going to be migrated at the end of this e-mail.

Why are we migrating to Exchange Online?

We are migrating in order to achieve better integration between the various Office 365 apps. Exchange Online also offers better security (for example against phishing mails). After migration, we can also introduce a number of new apps that only work when using Exchange Online, such as MS Bookings and To Do.

How can you prepare for mail migration?

•    You may have linked other mailboxes in addition to your own mailbox (or functional mailboxes). Make sure to write down the name of this mailbox beforehand so that it can be added again after the migration in case it needs to be done.
•    If necessary, download the Outlook app for your mobile. You can find this in the Play Store (for Android Phones) or the App Store (for iPhone phones)

What will I notice after the migration? 

•    Your regular mailbox, archive folders and calendar on your university (managed) PC or laptop will be automatically transferred to the new mail environment and are immediately available in Outlook. Mailboxes that you manage in addition to your own mailbox, so-called functional (or shared) mailboxes, are no longer linked and must be added again. (find instruction on the helpdesk portal KI 1137)
•    The Outlook app can now be used again on your phone, tablet or own device (iPhone instruction included in this mail). You can also continue to use your current mail app, but you will have to reconnect your mailbox. This also applies to other operating systems such as Mac and Linux (helpdesk portal KI 1205)
•    You can find your webmail in your browser when you log in to office.com and then choose the Outlook Online app (helpdesk portal KI 1612). If you nevertheless choose the address of the old webmail via webmail.campus.leidenuniv.nl, you will be temporarily forwarded to the Outlook Online app.
 
Attention: If you have to log in again then it will be a Office 365 login, you will also be asked for your MultiFactor Authentication (helpdesk portal KI 2081)

Possible temporary problem 

Functional mailboxes are widely used. These are migrated prior to the user migration. Users who still use the functional mailboxes in the old environment can still link them in Outlook, but not via Webmail. If this is an issue, you can ask the helpdesk for an accelerated migration.

Do I get support if something does not work as expected?

If you still experience problems as a result of the migration, please contact the helpdesk. This can be done in the following ways;
1.    Send an email to helpdesk@issc.leidenuniv.nl, or
2.    Contact the helpdesk via the helpdesk portal on the employee website
