From SAP to BAS InSite: get ready for the new administration system

30 September 2025

From January 2026, there will no longer be SAP Self Service and some parts of the Service Portal, because Leiden University will be transitioning to Basic Administration System, BAS InSite. To make sure that all your information has been entered correctly and completely before the transition, you will need to check it carefully in October/November.

What does this mean for you?

For a successful transition to the new system, all the administrative data must be recorded correctly in the old system. It’s therefore important that all employees ensure for themselves that everything is accurate and up-to-date. To help you make a start, you can download the checklist showing all the requests that need to have been approved in Self Service or the Service Portal before 30 November 2025. For more information on BAS InSite, please visit the BAS InSite webpage

Together improving our way of working

BAS InSite is built on AFAS software and provides a single, integrated platform for HR, finance and purchasing. This new system not only brings a fresh, user-friendly environment in the cloud, but also achieves a big step forward in the way we organise and execute our operating processes.

The ASSC is working closely with the directors of operational management and experts within the organisational units in improving these processes. We’re looking together to find the best ways to make this system a good match for our university.
