How to make your conference or (online) event a success

Whether you are organising a large symposium or a webinar for 30 participants, there are always a few key questions to consider first. What do you want to achieve? And who is your target group? A public conference to communicate science to a wider public is very different from a meeting to inspire further collaboration between international experts.

The Events Office will make all the practical arrangements for your event.

Events Office

Leiden University’s Events Office has a wealth of experience in organising academic meetings and events, both on location and online.

We can help you in a range of different ways: from advising on your event programme and thinking about the bigger picture to providing the entire organisation and delivery of your event, and all possible permutations in between. The Events Office is familiar with all the University venues and facilities as well as with other options in the cities of Leiden and the Hague. We also know exactly which hotels the two cities have to offer.

The service focusses on Central Services and Service Units. The Leiden University Events Office does not provide services to external organizations.

Organisation of a conference or summer school

The LUCL coordinator of conferences can provide practical assistance and advice regarding the organisation of a conference or summer school.

Planning and budget

It is important to start organising the event well in advance. A time frame of one and a half years for a large conference is by no means too early. A detailed checklist for organising a congress is available upon request at the coordinator of conferences.

The coordinator can help you create a fairly accurate budget and offers practical assistance (see below). This budget should contain a section on the expected revenue of the conference. Most conferences charge a conference fee. 

To apply for a guarantee subsidy at the Leiden University Centre for Linguistics, please send an email to the secretary of the Management Team including a budget and a small summary of the conference. The board of LUCL decides whether and how much the guarantee subsidy is granted. 

Please pay special attention to application deadlines when applying for a Leiden University Fund (LUF) subsidy. LUF processes applications at seven meetings during a year and does not award grants for past activities.
