Ceremonies

Untill the lockdown we tried – albeit on a small scale – to organise graduation ceremonies, inaugural lectures and PhD defences on University premises. 
The faculty is free to decide how, when and for which groups of students we want to organise these ceremonies. Together with the programme departments, we will see how we can make these events as much of a celebration as possible. More information about diploma ceremonies for first-year (propaedeuse), bachelor’s and master’s students can be found here. 
 

First-year diploma

Before corona, the first-year propaedeuse diplomas were not awarded to students during an organized ceremony for a number of study programmes. They could be collected at the Education Administration Office instead. During the corona period it makes more sense to send the diplomas to the students by post, accompanied by a letter in which the programme director congratulates the student.

The diplomas and transcripts can be printed by the Education Administration Office. They will then be ready to be signed by the chair of the Board of Examiners. The Education Administration Office and the chair of the Board of Examiners have to arrange a date to do so. The Education Administration Office will copy the signed diplomas and transcripts. Subsequently, the documents are sent to the students by registered post, including the letter of congratualions from the programme director. 

Bachelor: graduation ceremonies

The graduation ceremonies for bachelor candidates are group ceremonies.
During the second semester of 2019-2020, the study programmes may have organised something online (such as the study programme English). These students have not yet received a diploma. There are two possible solutions for this situation:

  1. Students are sent the documents by registered post.
  2. We organize a drive-through graduation ceremony. The student enters the Lipsius, receives the diploma and the graduation folder with a small present or rose at the Student Information Desk of the Studiepunt and leaves the building. We will assign a timeslot per study programme and a member of the Board of Examiners and possibly the coordinator of studies or the programme director, and someone from the Education Administration Office, should be present. Requests for this option can be sent to OSZ-roosterzaken@hum.leidenuniv.nl. The drive-through ceremony is coordinated by Nick van Geer, Karin van der Zeeuw and the Education Administration Office team leaders.

These documents should already be signed and copied, and ready to be picked up at the Education Administration Offices.

In case nothing has been organised online, students can join the bachelor's degree graduation ceremonies as described below.

The graduation ceremonies for students who obtain their diploma after the 1st of June are generally organized in groups in the Large or Small Auditorium of the Academy Building. The following protocol applies:

  1. The study programme determines the number of candidates and subsequently determines the number of ceremonies that are necessary. A room is reserved at the UFB via the Education Administration Office. The maximum number of people allowed is 30 in both Large Auditorium and Small Auditorium. This includes staff members. No guests can be invited, but in both the Large and Small Auditorium it is possible to livestream the ceremony. If a study programme wants to use a livestream, they have to inform the UFB when making a room reservation.
  2. The diplomas and supplements are made and printed by the Education Administration Office.
  3. The chair of the Board of Examiners communicates a specific time to the Education Administration Office to sign the documents.
  4. When the documents are signed, the Education Administration Office will copy the documents.
  5. The Education Administration Office makes sure that the candidates are invited and that they confirm their attendance. If candidates wish to receive the diploma by post it will be sent to them by registered post.
  6. The rules of the Academy Building must be followed at all times.

Master: graduation ceremonies

The graduation ceremonies for master diplomas are individual ceremonies.* For Philosophy this is even an official examination. 

These ceremonies have to take place in the Humanities Faculty Room. Here a maximum of 10 people can
according to the UFB-overview. This includes exam committee, candidate and any
guests.

The following protocol applies:

  1. The study programme determines the date for the ceremony and reserves the Faculty Room at the UFB.
  2. The diplomas and supplements are made and printed by the Education Administration Office.
  3. The chair of the Board of Examiners communicates a specific time to the Education Administration Office to sign the documents.
  4. When the documents are signed, the Education Administration Office will copy the documents.
  5. The Education Administration Office makes sure that candidates are invited and that they confirm their attendance. If candidates wish to receive the diploma by post it will be sent to them by registered post.
  6. The rules of the Academy Building must be followed at all times.

*) If a graduation ceremony for a master's programme is group-based, the above protocol for a bachelor's degree ceremony applies.
