Submitting grades to the SSC

Format for digital list of grades

The Student Services Centre (SSC) processes grade lists and individual grades for all FSW courses. For correct and automatic processing of grades in the uSis system, use one of the Excel grade list formats found under the 'Documents' heading.

  1. Download the format that applies to your grade submission (see below for choice).
  2. Complete the file using the built-in step-by-step plan.
  3. Email the file to osc@leiden.edu.

Deadline and signature

Please submit a signed copy of your course results to the SSC within 14 working days of the exam date, so that the results can be published in uSis by the 15th day. This follows the Rules & Regulations. We need the grades to be send from a university email address to be allowed to register the grades in uSis.

Grades must always be send to the SSC by an official examiner, appointed by the Board of Examiners. If you are not able to hand in the grades yourself, you can ask a fellow examiner to send it for you. Staff who are not appointed as examiners, such as secretaries, are not authorized to send in grades.

The grade itself

Final grades that fall between 5 and 6 must always be rounded off to 5.0 or 6.0. In addition, grades must always be expressed with one decimal place, even in the case of whole numbers such as 7.0. Lists of grades that include grades between 5.0 and 6.0 or grades with more than one decimal place will be returned to the lecturer with the request to resubmit them in the required format.

Only grades for registration in uSis

Please only include grades that need to be registered in uSis. Remove the data of any students who have not (yet) obtained a grade, and ensure that your list only includes grades that are registered in uSis and no columns with partial grades that are for your own administration only. This will save the SSC staff a lot of manual work and reduce the risk of errors.

Individual grades

Individual grades can be submitted on a seperate grade submission form containing all necessary information . You can fill this out online, and/or drop it off at the SSC.

If you send the form from your university email address, you don't have to sign it.
