Make agreements with your team about smarter digital collaboration and communication

This probably sounds familiar: Where did I see that colleague’s message? Was it in a post on Teams, in Outlook or in the chat? Where did we save that document? On the J drive or in a folder in a Teams channel?

Making agreements
If you often ask yourself these questions, the workload reduction project is getting in touch about smarter digital collaboration and communication: making clear agreements as a team about which tools you use for what, and where documents are saved.

Why use the cloud?
By learning more about Microsoft 365, and consciously choosing to work in the cloud instead of the local J drive:

  • collaboration no longer depends on time and place,
  • version management (always being able to return to previous versions) is easy
  • you can work simultaneously on the same document with team members.

Not only will this give you a clearer overview, it’s also a considerable time saving that gives peace of mind and makes your work more enjoyable.

But which programs and tools are recommended and how do you use them together? Basic principles on this have been set up in cooperation with the ISSC (Leiden University’s central IT team) and consultancy firm AVK.

We have put these basic principles in an interactive visual which serves as a guide and for common language among all staff at the faculty and university.

Practice
Some teams already make intensive and well‑considered use of the Microsoft 365 programs, while others are only just getting started. That’s not a problem. In the coming period, we will offer suitable training for every level, tailored to how the team works in practice.

Training
The next step is to identify teams that are interested in getting started. Teams that want to take part or would like more information can mail Nicole de Waal. The in-person training sessions are provided by AVK but can also be offered online upon request. In addition, shorter online inspiration sessions on this topic will be organised soon. These accessible sessions offer a good introduction and can help teams decide whether additional training is required. More information will follow.
