Working with a functional limitation
Leiden University wants to give everybody the opportunity to work in the best circumstances.
Do you, as an employee, have specific needs or require support due to a functional limitation? Or are you a manager of an employee who needs help or support?
Think, for example, about:
- (Additional) workplace tools
- Setting up the workplace
- Working hours
- Access and security in buildings, both in daily and emergency situations
Contact persons
Within the university, you can contact various staff members to discuss the available options.
The first step is usually to discuss your needs with your supervisor and work together to find a solution. Being able to function as well as possible is important both for you and for your supervisor. By having an open conversation, you can work together to ensure a suitable, pleasant, and safe working environment.
If you feel the need to have a conversation with an independent discussion partner, you can contact one of the HR advisers, or choose support from a confidential counsellor.
It is always possible to request a preventive conversation with the University doctor, even if you are not ill. No report will be sent to your manager unless it is decided to do so in consultation.
If your workplace is not properly set up, or if you need additional tools to do your work properly, you can contact the Service desk of your building.
You can also request facilities for working from home (a desk or chair) via the Service Portal (tile Remote working equipment) HR Area > Remote working equipment > New application. However, through this tile you cannot request a specific model of desk or chair. If you need specific adjustments or tools, you can schedule an appointment with the Health and Safety Coordinators.
For ergonomic adjustment of your workstation, you can submit a request via the Helpdesk portal > Buildings > Workstation & furniture > Request to set up workstation. A representative will visit to properly adjust your workspace.
For questions about building safety, such as evacuation procedures or emergencies, you can contact the Emergency Services Coordinators.
They coordinate the in-house emergency service (Bedrijfshulpverlening, BHV) and are the point of contact during evacuations and/or emergencies.

Before visiting one of the university buildings, you can check how accessible it is. On each location page, you will find information about the building’s accessibility and where you can request assistance if needed.
Within the university, there are several networks and platforms for employees with a functional limitation or additional support needs. These platforms provide support, connect employees with each other, raise awareness about inclusion, and contribute to a better work environment through knowledge sharing, discussions, and joint activities.
The networks and platforms can also provide opportunities for a conversation with an independent discussion partner.
- Neurodiversity Platform (NdP): aims to ensure that the university community has a better understanding of neurodiversity and its associated benefits and challenges. It also strives to provide an inclusive and stimulating work environment for all university staff.
- Access & Support Platform (ASP): the Access & Support Platform is a network of disability experts by experience, i.e. staff and students, at Leiden University.
- Leiden University Diversity and Equality Network (LUDEN): the primary goal is to promote a more inclusive working and learning environment.
