New project Smarter Digital Collaboration and Communication helps you work more efficiently
Where was that message again? In Teams, Outlook, or in the chat? And where is that document stored? On the J-drive or in a Teams channel? By collaborating smarter in the cloud, you keep overview, save time, and work together more effectively.
On 6 March, the the workload reduction project Smarter Digital Collaboration and Communication has started. Through this initiative, we encourage teams to make clear agreements about the use of digital tools in order to collaborate in a smarter, more effective and more efficient way.

Why work in the cloud?
By working in Microsoft 365 (instead of locally on the drive):
- You can work anytime, anywhere;
- You can always return to previous versions (version history);
- You can collaborate simultaneously with colleagues in one document.
The result? More overview, no more overflowing inboxes and less chaos. This improves your work-life balance — and that of your colleagues.
Make clear team agreements
Make clear agreements together about which tools you use for what purpose and where documents are stored. This prevents confusion and duplicate versions.
- Which tools do you use for what?
For example: Teams chat for short questions, Outlook for formal or external communication. - Where do you store documents?
For example: project or team (not research) documents in the Teams channel, not on the J-drive. - How do you prevent duplicate versions?
Work together in one shared document instead of emailing attachments back and forth.
Making clear agreements means less noise, less searching, and more focus on content. This improves your work-life balance, and that of your colleagues.

First, register for the entrance test. After completing the entrance test, you can register for one of the training courses. These courses last three hours and will be held on 19 March, 7 and 21 April.
