Working abroad? Seek approval in good time
Leiden University wants to ensure that working abroad on a short-term or long-term basis is properly managed. This applies to staff coming from other countries to work at Leiden University or staff wishing to work or move abroad. A new authorisation procedure applies from 1 July 2025.
Approval needed
If you wish to undertake work abroad, you will need prior authorisation from the university. Discuss your wishes with your manager or HR adviser at least three months in advance to allow for enough time for your request to be considered. You will not receive authorisation, for example, if you wish to work outside of the Netherlands for private reasons.

Scope
The authorisation process and follow-up steps apply to these four situations:
- New staff: If you are coming from another country to work at Leiden University.
- Working abroad: If you work for Leiden University and wish to work abroad on a short-term or long-term basis.
- Changes: If you will be moving abroad.
- Outside appointments: If you wish to work abroad alongside your work for Leiden University.
Implications for insurance and social security
Working abroad can have implications for social security (e.g. unemployment benefits and pensions), healthcare insurance, tax payments and net pay. It can mean extra costs and other rights and requirements for you and, as your employer, the university.
