Successful pilot: university mobility policy to continue
On 1 November 2024, the university introduced a new mobility policy, facilitated by Shuttel. Since then, we have been logging our travel (commuting and domestic business travel) and homeworking days in the Shuttel app. As agreed, we evaluated this policy after a year, and the result was positive. We have therefore decided to continue with this policy.
What does this mean for you?
Continue logging your commuting and homeworking days as usual in the Shuttel app. Please note the following:
To receive your allowance, you must log your commuting and homeworking days by the last day of the following month. You will only receive an allowance for what you have logged in Shuttel.
Always categorise the trips (commuting or business trips) you make with your Shuttle card. Don’t forget to do this before the last day of the following month: if you don’t categorise your trips, after ten weeks the system will automatically assume these were private trips.
Log your homeworking days in the month planner in the Shuttel app. Don’t forget to do so before the last day of the following month.
Tip: Set a reminder in your calendar for the end of the month to check you’ve logged everything.
Don’t add money to your Shuttel card: Shuttel will ensure there is enough credit on your card.
If you have used your own transport for commuting or for a business trip, log this in Shuttel. Make sure to classify the trip as a commute or business trip in Shuttel.
For business travel within the Netherlands, only use the ‘travel and expense’ option in Self Service to submit claims for subsistence expenses.
Only use the ‘expense claim’ option in the Shuttel app and the My Shuttel environment if you do not yet have a Shuttel card or have forgotten yours.
You may choose to use your Shuttel card for private travel, but you will have to pay for this travel yourself. To use Shuttel for private travel, you must first mandate Shuttel to debit the cost of this travel from your account. This is why you have to link your bank account to your Shuttel card in the app or My Shuttel.
If you use the Shuttel card for private travel, select ‘personal’ as the category for this trip – you can also do so afterwards. Shuttel will debit the cost of this trip from your bank account.
Your commuting and business trips will be billed directly to the university. So make sure to authorise Shuttel to debit private travel from your account before using your card for private travel. See the Shuttel website to find out how to mandate Shuttel for private travel.
