Shuttel: useful tips on updating your travel records

For over a year now, we have been registering our journeys and home-working days in Shuttel. This is a good time to highlight the importance of keeping our records up to date. A lot has been happening in the meantime: the Shuttel app and desktop version have been updated, and there’s a new Quick Guide to help you register your journeys and home-working days correctly. Below are a few tips on keeping your travel records up to date:

  • You don’t need to enter your home-working days, commutes and domestic business trips each day. You can just do this once at the end of each month, for the entire month. The Quick Guide explains how to do this using the Month Planner.
  • To receive your allowances, you need to enter all of your details in Shuttel by the last day of the following month. For example, for the month of March, you need to enter your details by 30 April.
  • You can save your commute as a recurring journey. This turns it into a ‘favourite’ journey, so you don’t have to keep entering the same route each time. The Quick Guide shows you how to do this.
  • Public transport journeys do not appear in Shuttel straight away. It takes about 24 hours for a train (NS) journey to be processed, while a journey by bus, metro or tram can take up to 5 days. For these journeys, you need to select a reason for travel within 10 weeks. Otherwise, they will be automatically labelled as private and deducted from your salary.
  • In Shuttel, domestic business trips are referred to as ‘business’. The reason for travel is displayed using the following icons:
  • Your Shuttel card can also be used for private journeys, but only if you have authorised this in Shuttel. NB: if you don’t do this, Leiden University will pay for the private journey and the amount will be deducted from your next salary as reimbursement.
  • Forgotten your Shuttel card? Not to worry. You can claim your journey in the Shuttel app and your journey costs will still be reimbursed.
