Commuting
You are entitled to a commuting allowance. The amount you receive depends on your mode of transport and the number of kilometres you travel.
Travel allowance through Shuttel
As an employer, Leiden University must track its carbon emissions for travel. We use the Shuttel app to do so, and expect you to register your trips, such as commuting to work. If you prefer to use your desktop or laptop, you can also register your trip in My Shuttel. For instructions for the app, see the Quick Guide to Shuttel.
Make sure you always assign a reason (‘motive’) for travel to your trips. If you have not done so within ten weeks of the trip, we will assume that it was a private trip. The costs will then be deducted from your next salary. You will receive reminders if you have not yet assigned a reason to your trip.

- Use the Shuttel card that you have received from the university to travel by public transport. Find out how to use your Shuttel card.
- Select ‘commute’ as the reason (‘motive’) for your trip in the Shuttel app to qualify for the allowance.
- The costs of the trip will be covered in full.
- The allowance only applies to second-class travel with a Shuttel card.
- Ov-fiets rental, discounted parking at train stations and bicycle parking are not includedin the allowance.
Commuting by bicycle/by scooter/on foot
- Also register travel with your own transport in the Shuttel app!
- You will receive an allowance of 7 cents per kilometre.
- The allowance is for journeys up to a maximum of 45 kilometers (single trip).
- The allowance does not cover the first 10 kilometres. This means you will receive an allowance for 35 kilometres.
Commuting by car/motorbike
- Register your travel in the Shuttel app. Read how to register your travel by car/motorbike.
- You will receive an allowance of 7 cents per kilometre.
- The allowance is for journeys up to a maximum of 45 kilometers (single trip).
- The allowance does not cover the first 10 kilometres. This means you will receive an allowance for 35 kilometres.
- You can also apply for a parking permit.
Commuting expenses via the Individual Choices Model
You can request an additional kilometre allowance under the Individual Choices Model. You will not be reimbursed for the full cost of your travel, but by using part of your gross income for this, you will benefit from a tax advantage.
Payment
Payment is always one month after your journey has been registered. Journeys by public transport are recorded automatically; you must record journeys made using your own transport yourself in Mijn Shuttel. You have until the last day of the following month to register your journey. Once you have done this, your allowance will appear in your next payslip.
Checking your commuting allowance
To check the travel expenses you’ve submitted against the payment shown on your payslip, go to ‘Transactions’ (under ‘Finance’) in Shuttel and download your transactions. Column AA indicates whether they have already been registered in Shuttel, and in which period. Please note that Shuttel only reports on what you have submitted. If you entered your travel expenses for November in December, you’ll have to wait until January for payment.
New staff
If you are a new member of staff, you will receive an email asking you to register with Shuttel. Once you have registered, your Shuttel card will be sent to the address you provided. You can claim back the costs incurred for using your own transport or public transport retrospectively via the ‘claim’ button in Shuttel.
