Payments to research participants within Europe

Participants are used in various scientific researches. These participants receive a fee for this participation. There a three categories of participants:

  • Anonymous: option may only be applied if anonymity is required based on the research plan.
  • Pseudonymous/non-anonymous: an participation fee up to a maximum of 50 euros.
  • Pseudonymous/non-anonymous: an participation fee higher than 50 euros.

You can make payments to research participants from SEPA countries (within Europe) via a bank transfer, a gift ,VVV gift card or in cash (cash is only possible with anonymous participants).

Go to the Service portal on the staff site and click on “My payment requests”. To arrange payment, you need the full name, address, town/city, IBAN, of the research participant.

If the payment to the participant is higher than 50 euros, the following information must also be requested: the citizen service number (BSN) and the date of birth.

You can claim costs you have paid in advance via “Travel and expenses” via Self Service. Enter the full name of the research participant and upload your proof of payment as an attachment.

You can order a VVV gift card via “My payment requests” via the Service portal. To arrange payment, you need the full name of the research participant.

If the payment to the participant is higher than 50 euros, the following information must also be requested: address, town/city, Citizen Service Number (BSN) and date of birth.

Important to bear in mind when making a payment

A research participant (this applies only to research participants resident in the Netherlands) who receives more than receives more than 50 euros per research from Leiden University with a maximum of 180 euros per month (this can be from different researches) will receive a letter from the university in mid-January of the following year confirming that he/she has received an allowance which must be declared in their Income Tax Return. You should inform the research participant of this in advance.

Payment to research participants outside Europe

You can make payments to research participants from NON-SEPA countries (outside Europe) by bank transfer or in the form of a gift.

You can arrange a bank transfer for research participants outside Europe using the PNIL Form (Personnel not in employment). To arrange payment, you need the full name, address, town/city and IBAN of the research participant.

You can claim costs you have paid in advance via “Travel and expenses” via Self Service. You enter the full name of the research participant and upload your proof of payment as an attachment.

Important to bear in mind when making a payment

Extra transaction costs are always charged to the university for payments to NON-SEPA countries. This starts at 4.50 euros per payment and can be higher. It is also necessary to provide additional bank details to complete the payment. Payments of less than 10 euros outside Europe will not be transacted.
