New faculty policy on earned income: clarity and fair rules

As of 1 September 2025, a uniform policy will be in effect within our faculty for the use of earned income. This policy provides clear guidelines for the use of funds obtained by staff through activities carried out outside their regular duties as agreed with the institute. These activities therefore often take place in their own time.

What is earned income?

Earned income refers to financial resources generated by staff through activities that fall outside their formal duties and contracted working hours. These funds may be used under certain conditions. All such expenditures must always comply with Leiden University’s various guidelines on the use of funds.

Why a uniform policy?

Until now, the use of earned income has been interpreted differently across the institutes within our faculty. This sometimes led to a lack of clarity and unequal treatment. With the new policy, we aim to ensure:

  • Fair and consistent rules for all staff and institutes
  • Transparency in the allocation and use of funds
  • Responsible management of these resources

What does the policy entail?

  • A single central guideline for applying for and using earned income
  • A streamlined evaluation process
  • Annual reporting and monitoring
