Important deadlines for submitting invoices

Submitted invoices by 9 December 2025 may still be processed and paid this year. These invoices must meet Leiden University’s criteria and be approved by the budget holder in time.

Invoices via BAS InSite

As of 6 January 2026, invoices will be processed in BAS InSite. Between 9 December 2025 and 6 February 2026, there will be a ‘freeze’ period. During this time, incoming invoices will be registered but will only be processed and paid in January 2026. 

SAP-numbers

As part of this transition, the use of SAP numbers will be discontinued, and instead of SAP numbers, we will use project and cost centre numbers to record expenses and activities. You will receive more information about this change in these numbers soon.
