Request your leave on time
In January 2026, Leiden University will switch to a new Basic Administration System: BAS InSite. To ensure a smooth transition into the new system, there are important deadlines for requests, approvals, and record-keeping of your own records. This also includes submitting and processing leave and absence requests. Various deadlines apply for these registrations. This is due to the order in which various processes are converted to the new BAS InSite system.
Special leave: deadline no later than 30 November 2025
You should request these leave days on time. For all types of special leave, the request must have been completely approved and entered in the system no later than 30 November 2025. You must arrange the request yourself via Self Service.
- Saving for long-term leave and sabbatical
 - Maternity leave
 - Adoption leave and fostering leave
 - Parental leave
 - Birth leave
 - Carer’s leave
 - Special leave and emergency leave
 
If you can’t select the correct approver when you submit your request, you should contact your manager.
Absence and vacation leave: deadline no later than 23 December 2025
Absence
Have your absence days been recorded correctly up to present? You can still enter absence up to and including 23 December 2025. Here you find more information on how to register absence.
Vacation leave
Check that your annual leave days have been recorded correctly and submit your leave request for 2025, and as far as possible for 2026. This request must have been approved and entered in the system no later than 23 December 2025. Arrange your request on time via Self Service. Please read the knowledge item Vacation.
